|Description||Title: Administrative Assistant - Tourism |
Hours: 36 hours per week
Hourly Rate: £9.14 gross per hour
Duration: Approx 1 month with possible extension
> To provide administrative support services to the Tourist Development Manager to ensure efficient provision of services.
> To ensure that a high level of quality standards and customer service is maintained at all times.
> To deal with all correspondence and enquiries and complaints, draft replies, or refer to appropriate Officer for action.
> Diary Management
> To assist with the production of Tourist Literature.
> To operate, and maintain manual and computerised information/filing systems, including data collection, processing invoices, databases, spreadsheets, and stock control systems.
> To provide financial reports and contribute to departmental estimates as required.
> To ensure security, handling, recording and reconciling of all payments/monies received and process invoices where appropriate.
> Provide reports to third party funding organisations, maintaining records of expenditure and making claims where necessary.
> To prepare and provide information for meetings, as well as attend and service meetings, including taking minutes and providing follow up information.
> To coordinate the support requests for Tourist Related Events, liaising with third party organisations as required.
> To attend, organise and coordinate Meetings, Receptions, Promotions and Events as required.
